Office Services Specialist Job Description
FUNCTION: To assist in all tasks, systems and processes involved in operating a small wellness and physical therapy center.
REPORTS TO: Clinic Manager, Office Manager and Owner of PT Plus.
DUTIES AND RESPONSIBILITIES:
- Greet people who walk in and build relationships with existing and potential members and patients, including giving sales tours of gym.
- Answer the phone, schedule physical therapy appointments, perform confirmation calls.
- Maintain all physical therapy charts in organized form, including technical chart audits.
- Assist in marketing fitness memberships, classes, products, assessments and personal training sessions, and condition-specific programs.
- Schedule and perform new member orientation sessions, personal training sessions, assessments and re-assessments.
- Maintain membership and patient records, following up on members and patients to maximize retention.
- Maintain membership, club management and physical therapy software.
- Orient new fitness members to the facility and check in procedures, assist in orienting new members and patients to equipment.
- Process and track fitness member and physical therapy payments.
- Keep fitness facility neat, clean and orderly.
- Answer members' and patients' questions on fitness center floor.
- Assist in the treatment of physical therapy patients under the direction and supervision of a licensed PT or PTA.
- Transition physical therapy patients from PT to Fitness as appropriate.
- Participate in physician and employer marketing as directed.
- Produce marketing materials as directed.
- Maintain food and beverage, product, supply and pro shop stock, including placing orders and managing inventory.
- Laundry: wash, dry, fold and re-stock linens.
- Physical Plant Maintenance: coordinate and maintenance or repairs that need to be performed, including coordinating regular janitorial services.
- Monitor vital signs as appropriate for patients and clients.
- Prepare monthly fitness reports (financials and statistics).
- Maintain the fitness equipment.
- Assist with opening and closing of the facility and train others in these procedures as necessary.
- Update the bulletin board as directed.
- Perform CPR with AED if necessary.
- Perform any other duties as designated by the Clinic Manager, Office Manager and Owner.
TEAM PARTICIPATION: participate in office meetings and demonstrate positive team behavior.
EDUCATION: HS diploma, post HS education, CPR certified.
